How to Enable Smart Email Insights
Once enabled, timetoreply can analyze email content to provide valuable insights such as:
- Sentiment detection
- Urgency identification
- Conversation categorization
- Emails that may still need a response
This gives your team more visibility into customer communication trends and unlocks powerful new reporting and filtering capabilities.
Before You Get Started
Smart Email Insights is completely optional and must be enabled manually by an administrator.
Because the feature analyzes email content, you’ll first need to grant timetoreply permission to securely process your emails.
You remain in full control at all times:
- Enable or disable the feature whenever you like
- Choose which mailboxes participate
- Remove data if needed
- Use Privacy Mode for additional protection
We recommend starting with one or two mailboxes first before rolling it out across your team.
How to Enable Smart Email Insights Step 1: Open Advanced Settings
Log into timetoreply as an administrator and navigate to:
Settings → Advanced Settings
Here you’ll find:
- Privacy and security information
- Details about how Smart Insights works
- Data management options
- Privacy Mode settings
Take a few minutes to review this section before enabling the feature.
Step 2: Turn On Smart Email Insights
At the top of the page, you’ll see the Smart Email Insights toggle.
Simply switch the toggle ON to activate the feature for your account.
Once enabled, you’ll be able to configure individual mailboxes.
Step 3: Enable Smart Insights for Your Mailboxes
Smart Email Insights is enabled on a per-mailbox basis, giving you complete control over which inboxes participate.
For each mailbox you’d like to enable:
1. Enable Body Ingestion
This allows timetoreply to securely analyze email content and generate insights.
2. Re-authenticate the Mailbox
You’ll be prompted to reconnect the mailbox and approve the required permissions.
3. Wait for Confirmation
Once setup is complete, you’ll see a confirmation checkmark indicating the mailbox is successfully enabled.
timetoreply will then begin analyzing emails and generating Smart Insights for that mailbox.
Using Privacy Mode
If your organization works with sensitive or confidential information, you can enable Privacy Mode.
When Privacy Mode is enabled:
- Email content is hidden from other users inside the app
- Smart Insights still continue running in the background
- Additional mailbox privacy protections are applied
This allows teams to benefit from Smart Insights while maintaining stricter internal privacy controls.

Message Insights
Under Messages, you’ll see features such as:
Sentiment Analysis
Understand whether customer emails are positive, neutral, or negative.
Urgency Detection
Quickly identify emails that may require immediate attention.
Intent Classification
Automatically categorize emails based on their topic or purpose.
Conversation Insights
Under Conversations, you’ll also gain access to:
Needs Response Detection
Identify conversations that may still require follow-up.
Conversation Categorization
Automatically organize conversations for easier reporting and analysis.
